Our Privacy Policy

South Edinburgh Cluster (St Catherine's, St Gregory's, St John Vianney's ) is a Roman Catholic Church group, a registered charity (No. SC00854) and a part of the Archdiocese of St Andrews and Edinburgh.

Our Privacy Policy below explains how we obtain, use and protect any personal information you provide, whether via phone, online email or text, in letters or in other communications.

This Privacy Policy outlines the following:

The information South Edinburgh Cluster collects about you or your activity;
how we intend to use the information we collect;

Safeguarding your private or personal information is very important to us at our Cluster. Whenever you provide us with your information, then we are legally obliged to use this information in line with all of the relevant legislation and laws which are concerned with the protection of personal information. This Includes the Data Protection Act 1998, and the General Data Protection Regulation ( GDPR) being introduced by the European Union.

Our Cluster website will at times contain hyperlinks to websites owned and operated by other ( 3rd ) parties. These 3rd party websites will have their own terms and conditions and privacy policies; including differing policies/applications in terms of how they use cookies. We would recommend that you read and interpret these independently from our own platforms, as they may use your personal information in a different way, and have different 3rd party processors or controllers. We cannot accept any responsibility or liability for the privacy practices of such 3rd party websites and please be advised that your use of such websites will be at your own risk.

Information we collect

We obtain your consent to hold data in two ways:
1. When you contact us for any reason.
2. When you sign up to any of the Cluster activities, newsletters or message boards.
3. When you telephone, email, or write to or text the Cluster , or engage with the us via social media channels.
As a result of the above, we may retain personal information about you. This may consist of information such as your name, email address, postal address, telephone or mobile number, bank account details to process donations and maybe whether or not you are a tax payer; this would help us so that we are able to claim gift aid.

By submitting your details, you enable our Cluster (and where applicable any 3rd parties which we may use) to raise funds and to provide you with the goods, services, information, activities or online content that you choose.

We do not collect "sensitive personal data" about your health, profile or status, unless there is a clear reason for doing so - such as participation in an event where we need this to ensure that we provide appropriate facilities or support to enable you to participate in an event. Clear notices will be provided on applications for such events so that it is clear about what information we need and why we need it.

If you are browsing our website as an anonymous visitor, then please note that we may still collect certain information from you, such as your IP addresses (an IP address is a number that can uniquely identify a specific computer or other network device on the internet).

The Cluster website also uses cookies. Cookies are small text files on your device. They are made by your web browser when you visit a website. In some cases for (example purchases) it may be necessary under law that we hold details of transactions on file for legal reasons. Although this would not preclude it from being revealed to you.

How we use your information
The South Edinburgh Cluster will use your personal information for a number of purposes including the following:

In relation to any correspondence you have entered into with us whether by letter, email, text, social media, message board or any other means;
For "service administration purposes", which means that the Parish may contact you for reasons related to donations you have made or the activity or online content you have signed up for;
For internal administration and record keeping;
To fulfil sales contracts you have entered into with the Parish;
To contact you about any content you provide;
To invite you to participate in surveys or research about the Parish or our work (participation is always voluntary);
For marketing purposes where you have specifically agreed to this (see below);
To provide you with information about our activities or online content you have agreed to receive;
To personalise the way that the Parish content is presented to you;
To use IP addresses to identify the location of users, or to block disruptive use, to establish the number of visits from different countries, provinces or regions;
To analyse and improve the activities and content offered by the the Parish website to provide you with the most user-friendly navigation experience. We may also use and disclose information in aggregate (so that no individuals are identified) for marketing and strategic development purposes.
What about Marketing purposes?

Our Parish will only contact you for marketing purposes by email or other electronic means if you have agreed to be contacted for these purposes or where you have made a donation and have not opted out from receiving further information. Where you have provided your postal address we may send you direct mail about our work unless you have told us that you do not wish to receive information.

Offensive Or inapproprate content

Should you post or send offensive, inappropriate or objectionable content to or anywhere on the Parish website or otherwise engage in any disruptive behaviour on any Parish or wider Church service, we may use your personal information to stop such behaviour.
Where we reasonably believe that you are or may be in breach of any of the laws of England and Wales (or the law of Scotland if you live there) (e.g. because content you have posted may be defamatory), we may provide personal information to inform relevant third parties such as your employer, internet provider or law enforcement agencies about the content and your behaviour.

3rd Party Services

Will the Parish share my personal information with anyone else?

We will only use your information within the Parish for the purposes for which it was obtained. unless you have explicitly agreed that we may share your information with another organisation. Sometimes the Parish contracts third parties to process your information on our behalf. We require these third parties to comply strictly with our instructions and data protection laws.

We will keep your information confidential except where disclosure is required or permitted by law (for example to government bodies for tax purposes or law enforcement agencies for the prevention and detection of crime, subject to such bodies providing us with a relevant request in writing).

Server Security

Our website is hosted on Amazon Servers. They provide the online server platform which allows us to host our services to you.

Your data is stored through Amazons data storage, databases and general secured applications. They store your data on a secure server behind a firewall and any forms completed on our website are submitted through a secure encrypted page.

To protect your personal information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed.

If you provide your credit card information by transacting through our website, then the information is encrypted using secure socket layer technology (SSL) and stored with a AES-256 encryption. Although no method of transmission over the Internet or electronic storage is 100% secure, our server providers ( AWS ) follow all PCI-DSS requirements and implement additional generally accepted industry standards.

Holding Information - Duration

How long we hold information
We will hold your personal information on our systems for as long as is necessary for the relevant activity, e.g we will keep a record of donations for at least seven years. If you request us not to send you marketing information we will keep a record of your contact details and appropriate information to enable us to comply with your request not to be contacted by us. Where you contribute material to us, e.g. user generated content or in response to a particular campaign we will generally only keep your content for as long as is reasonably required for the purpose(s) for which it was submitted unless otherwise stated at the point of generation.

Accessing Information

Your right to access
Under the Data Protection Act you have the right to request a copy of the personal information we hold about you and to have any inaccuracies corrected.
